Item Statuses Explained
Understanding the status system and when to use each status.
Understanding Item Statuses
Every item in itemID has a status that determines how it behaves when scanned and how it appears in your dashboard. Choosing the right status helps finders know exactly what to do and ensures you get notified appropriately.
You can change an item's status at any time from its detail page. Status changes take effect immediately β the next person who scans the QR code will see the updated information.
Available Statuses
In Possession
The default status for newly created items. This means the item is safely with you. When scanned, finders see a standard contact page where they can send you a message. This is the right status for items in your possession but protected just in case.
Lost
Set this status when you've lost an item. Finders will see a prominent "This item has been reported lost" alert and are encouraged to reach out immediately. You'll receive enhanced notifications including push alerts for any scan activity on items marked as lost.
Stolen
Use this status if an item was stolen rather than simply lost. Finders see a "This item has been reported stolen" message. This provides important context and may help with recovery efforts and police reports.
Found
When you've located your item or a finder reports finding it, update to "Found." This indicates the item has been located and return coordination is underway. When you physically recover the item, change the status back to "In Possession."
Lent
Set this status when you've intentionally lent an item to someone. This helps you track who has what. If the borrower loses it, the QR code still shows your ownership. When returned, change back to "In Possession."
Best Practices
Keep your items' statuses up to date. If you find an item that was marked as lost, update it promptly so finders aren't confused. Regularly review your dashboard to ensure all statuses reflect reality. An accurate status ensures the best experience for both you and anyone who finds your item.
